[2] Our Promise to You

At TTN, one of our top priorities is making sure that the information we have about you is protected and secure. We value our relationship with you and are absolutely committed to preserving your privacy.

[3] Information We Collect

We collect information from visitors to our web properties who complete forms, such as Request for Information Forms (RFIs) and Enrollment Forms, as well as through information voluntarily provided to us by a visitor, such as resumes and cover letters. This information is collected and stored as part of our customer service, admissions and travel coordination processes.

Information we collect on RFI forms may include, but is not limited to, the following items:

  • Name of Respondent (first/last)
  • Email Address
  • Requester Category (student/parent/group organizer/other)
  • Desired Travel Window (Spring Break/Summer/etc.)
  • Desired Travel Location (Africa/Asia/Europe/Latin America)
  • Mailing Address
  • Phone Number

Information we collect on Enrollment forms includes all pertinent information required to enroll on and travel to our programs, including detailed medical notes, credit card numbers, travel itineraries and more.

Data Use and Processing

We use any information we collect to provide important information and ensure safe travel for enrolled travelers and to market programs and related offers/services to prospective travelers. All the data we collect and process is for the final purpose of enrolling travelers in TTN programs, or providing a best-in-class travel experience for those travelers enrolled on our programs.

We maintain an internal email list of all persons who have had email correspondence with our organization, filled out forms/fields on our web properties, enrolled on our programs or otherwise provided TTN with their email address.

We may use this list to send updates, promotions and announcements regarding TTN programs, as well as related content. You may indicate on your initial request to only receive the information for which you provided us your address in the form on our website.

You are never under any obligation to remain on the email list, and can remove your email address from the list at any time by sending an email to privacy@teentravelnetwork.com with the subject line Unsubscribe and specify that you’d like to have your email removed from our list.

If you’d like to remain in our email database, but would prefer to online receive specific kinds of emails (for example, emails from our travel coordination team on your upcoming trip), please email privacy@teentravelnetwork.com with the subject line Unsubscribe and simply specify the kinds of emails you’d like to receive or not receive.

If you supply us with your postal address online, you may receive periodic mailings from us with information on our programs and related materials. TTN is committed to environmentally-conscious printing policies and sends a low volume of materials through the mail, with the exception of sending our program catalog at the visitor’s request by filling out our ‘Request a Free Catalog’ form.

If you do not wish to receive such mailings, please let us know by sending a request to privacy@teentravelnetwork.com with the subject line Unsubscribe and a note that you’d like to be removed from our mailing list. Please provide us with your first name, last name and address. We will be sure your address is removed from our mailing list.

Persons who supply us with their phone numbers online will only receive phone contact from us regarding information or resources they have requested online, such as details about TTN trips and the enrollment process.

If you provide us with your phone number online by form, or offline, you may receive phone calls and/or text messages from TTN representatives about the information you have requested.

If you would no longer like to receive phone calls or text messages from us, you may let the TTN representative on the phone know, or send an email to privacy@teentravelnetwork.com with the subject line Unsubscribe. In the email, please note whether you’d like to be removed from our calling list, our text message list, or both. We will be sure your phone number is removed from our calling/texting list upon receipt.

If you supply us with your postal address by phone, you may receive periodic mailings from us with information on updates and announcements. If you do not wish to receive such mailings, please let us know by sending a request to privacy@teentravelnetwork.com with the subject line Unsubscribe. Please provide us with your first name, last name and address. We will be sure your address is removed from our mailing list.

All Other Personal Data

Any other data you supply Terra Education and/or Teen Travel Network, such as your name or desired travel location, may be used to provide you with information on our programs, content related to our program offerings and details regarding travel to/preparation for your program or trip.

If you would like to opt out of keeping any specific piece of information on our database or contact lists, please email privacy@teentravelnetwork.com with the subject line Unsubscribe, and simply specify which data you’d like us to remove. You may also request removal of all personal data from our database or contact lists using the same method and stating that your request for all personal data to be removed.

[4] How We Share Information

The email list we maintain is for internal use only and will not be sold or conveyed to any party outside of Terra Education or its subsidiaries, such as Teen Travel Network.

Furthermore, while we may use tools or software or social media platforms from third party companies, we do not exchange email lists or other sensitive information with any other company. If you choose to use these third party features or functions, you may be asked to create an account with a third party provider, and by doing so, agree to the privacy policy of that third party

With respect to ad servers, we do not partner with or have special relationships with any ad server companies. We will only share email addresses as required by law.

We do not share any personal information about our students or their families with anyone external to Teen Travel Network, Inc. and its program partners, unless required by law or to activate the travel medical insurance included in the program.

Once enrolled, you have the option of allowing us to share your contact information with other enrolled students/travelers and their families.

Recipients for our stored data primarily include staff, students, families and third parties bound by partnership or service agreements, such as our web development/server provider and advertising consultant. Third parties, such as public authorities, vendors or those not conducting regular activities with TTN, will be limited in which data they have access to, as determined by TTN staff, with the highest priority given to privacy protection for user data in all cases unless compelled by law.

Data is primarily stored in the United States. However, given the international scope of our organization, data may be transferred abroad, including into and out of the United States and the European Economic Area. Protections are in-place to ensure security for all data transfers. Information on protection for data transfers is outlined in the ‘How We Protect Information’ section below.

[5] How We Protect Information

We have appropriate security measures in place in our physical facilities to protect against the loss, misuse or alteration of information that we have collected from you at our site.

All information is kept in locked files or electronic files that are password protected and whose access rights are restricted to only those TTN staff members who have a need to know.

The TTN website and portal are secured through a Secure Sockets Layer. This technology enables link encryption between web servers and browsers, and the link ensures privacy and integrity for all data passing between the server and browser. Additionally, our website and portal utilize the HTTPS protocol for secure communications, and all of our online systems and external platforms dealing with sensitive data are password protected. We also have a team of expert web developers regularly checking the security of all our online systems.

Credit Cards and Other Confidential Information

All confidential information (such as credit card numbers) on our website is sent using the Internet security protocol known as “Secure Sockets Layer” or “SSL.” This is a certification and encryption technology designed to make using your credit card use as safe as possible. No one at TTN has access to your entire credit card number, only the last four digits for identification purposes.

All other confidential information, such as medical forms, are secured through password-only access for approved users only.

Data Retention

Prospective traveler information (those who have voluntarily entered our database by submitting an RFI form on the TTN website or otherwise provided their personal information), will be kept for a period based on continued eligibility for enrollment or planned future enrollment on TTN or other Terra Education programs, as determined by internal staff. You may request to review your data or remove it at any time. Clean-up and removal of data deemed unnecessary for prolonged storage are regulary conducted.

Current or past traveler information is treated differently. Because TTN travelers and their family members may be eligible to enroll on TTN trips for multiple years in a row, can later sign up for programs with our sister organizations such as Discover Corps, and for liability purposes related to the safety and protection of minors, TTN/Terra Education retains select personal information on enrolled participants and past travelers, as well as related persons (such as parents), in perpetuity. Given the nature of TTN’s international travel program offerings, certain sensitive information must be kept on-file indefinitely to ensure the safety and wellbeing of our students, staff and local partners. This information is therefore retained in detailed travel/program logs, securely protected in our database, in the event such information is required for access and review at a later date.

However, we welcome all enrolled and previously enrolled participants and related parties to contact us at any time to resolve any data collection or retention issue, so we can work to find a suitable solution for all parties involved, including potential archiving of data and/or removal from our email lists or other databases. We are also happy to share what personal data we have accessible with you upon request. You may also ask to have certain data removed, pending an internal decision, but we ask that you call us at 1-858-771-4886 with your request so we can walk through everything with you. Any information retained indefinitely has been deemed critical to maintaining detailed records of program operations and related events for liability purposes. Nonessential information, as determined by TTN/Terra Education, can be expunged from our records at your request.

TTN and Terra Education comply with all U.S. laws in regards to data retention, privacy, security and provisions for removal.

[6] Former Participants

We do not share personal information about our former participants with anyone, unless explicitly agreed upon by the student or their parents (if the student is under 18 years of age). An exception to this policy would be information disclosures required by law, e.g. a subpoena.

We do not share information about our former participants with companies outside of our organization that may use the information for their own marketing purposes.

[7] Pixels, Cookies and Tracking

TTN uses pixels, cookies and other tracking technologies to help us provide customized ads and messages to our audience, based on how you entered or interacted with our website.

TTN and our third party providers may use cookies, pixels, JavaScript, local storage, log files, and other methods to automatically collect and log information about your activities on our website and across third party sites or online services connected to our web properties. We may use this information to best serve customized ads, pop-ups and other communications to visitors; however, TTN will never sell or otherwise share this data with outside parties.

We use “cookies” to monitor how people use our website. A cookie is not software and therefore cannot alter your computer or computer files or software in any way. It is a piece of information that is stored on your computer’s hard drive which records how you have used the TTN website.

Our cookie records no other information unrelated to TTN. If you do not want to allow cookies in your browser, most browsers allow you to delete or reject cookies. You must alter your browser settings to reject cookies or to alert you when a website tries to put a cookie on your computer. Disabling cookies may limit your ability to use the certain online services.

We use pixels to identify and track visitors to our website, similar to the use of cookies. Pixels, like cookies, allow us to personalize ads and other content, and to determine which actions visitors have taken on our website, in our emails, and related platforms.

TTN uses third party software to track views, clicks, conversion and other engagement metrics of our users, particularly through platforms such as Google Analytics and Google AdWords, among others. All user engagement tracking and related monitoring are consistent with industry best practices and any information acquired is used for proprietary purposes only.

[8] Privacy of Minors and Family Data

TTN’s services are primarily available to high school students ages 14-18, and their parents or guardians, with some exemptions granted for students ages 13 and 19 if they are entering high school or recently graduated.

TTN does not knowingly or willing collect personal information from persons under 13 years of age, or knowingly allow such persons to sign up for services on our website. If we are made aware that we have collected sensitive information provided by a minor under the relevant age, as required by law without parental consent, we will take immediate action to remove that data.

In certain situations, such as for middle school programs or custom group travel, persons under the age of 13 may travel with TTN. In those instances, users under the age of 13 may access and interact with the TTN website and its services, provided these persons have asked for and received the direct consent of their parent or guardian. TTN will take immediate action to remove personal information or data provided by persons under the age of 13 if we are made aware that such materials were provided without parent/guardian consent.

Family Data

Because most TTN students are minors under the age of 18, parental consent is required for minors to enroll on any of our programs. Information requested during the enrollment process requires both the student and their parent or guardian to complete certain fields, so parent/guardian consent is needed to complete the enrollment process. TTN may retain information about students and their parent/guardian in our database as a result of requiring both sets of user information.

[9] Access to Your Information

If you would like to know exactly what personal information TTN has collected about you, we will be happy to share it with you. This includes transaction information (e.g., dates on which you made payments, amounts and types of payments), communications that the consumer/visitor has directed to our site (e.g., emails, customer inquiries, etc.), and contact information (e.g., name, address, phone number).

Please email privacy@teentravelnetwork.com with a request to review this information.

[10] Your Rights

As a visitor to TTN’s web properties, you are entitled to certain rights, as outlined below.

Statutory or Contractual Obligations to Provide or Release Personal Data

TTN will also comply with all local, national and international laws regarding the provision or release of data as compelled by law.

Rights in Regards to Automation

TTN and Terra Education may also use automation to implement certain actions, or to flag certain activities on our websites or related web properties. This automation is designed to provide tailored experiences and information to visitors.

While some automation may be used to screen applicants to our programs, automation is not used to determine eligibility for enrollment on any of our programs. Persons working for Teen Travel Network and Terra Education will always make final determinations in regards to eligibility for enrollment on or expulsion from our programs.

Automation may also be used to determine which users we market to, based on attributes including, but not limited to, location, age group, search term and interest.
